ADA Title II · deadline April 26, 2027

The compliance deadline is set. Your meeting videos aren’t ready for it.

Aware makes every meeting video fully ADA compliant — accurate captions, audio description and an interactive transcript that meet WCAG 2.1 AA. One platform pulls your meetings in from YouTube, Zoom, or direct file upload — and broadcasts them live when connected to your AV — with no integration and no consultants, up and running in days. Residents even get AI plain-language summaries and can ask any meeting a question.

Seamless import

Paste a YouTube link. Connect Zoom. Drop a file. That’s the whole setup.

No migration, no new video platform, no IT ticket that sits for a quarter. Point Aware at a YouTube or Zoom Cloud Storage URL, or upload an MP4 straight from your recorder — and a fully accessible, captioned, described and summarized version comes back automatically.

  • Bulk-import your whole archive — point us at a channel or playlist and we backfill every past meeting.
  • New meetings flow in on their own — connect once and every future recording is processed automatically.
AI summaries · the engagement unlock

Compliance is the floor. Residents who actually understand their government is the win.

Nobody watches three hours of council footage. Aware’s AI turns every meeting into a clear, plain-language recap — key decisions, votes and action items, time-stamped and translated — so residents grasp what happened in under a minute. It’s the part no captioning vendor offers, and the reason engagement climbs instead of staying buried in a video file.

  • Decisions, not transcripts — what was voted on, what passed, what’s next.
  • Multilingual by default — reach every resident, not just English speakers.
  • Supports cognitive accessibility — plain language is a WCAG goal and a public-trust one.
The deadline is set

ADA Title II requires your meeting videos to meet WCAG 2.1 AA.

The DOJ’s 2024 rule, as amended by the April 2026 Interim Final Rule, sets two firm compliance dates by population. Find yours.

Apr 26, 2027
Population 50,000 or more

Larger cities, counties, states & the agencies they run.

Apr 26, 2028
Population under 50,000

Smaller municipalities & any special district government.

Meeting videos posted before your date can fall under the “archived content” exception — but anything still used to conduct public business, or reposted after, must conform. We help you sort both.

Everything a meeting video needs to pass — in one pass

Conformant captions

Reviewed captions with speaker labels, correct names, motions and punctuation — the accuracy WCAG 2.1 AA actually expects, not raw auto-transcription.

Audio description

Narration of what’s on screen — slides, exhibits, roll-call votes — so residents who are blind or low-vision follow every decision as it happens.

Interactive transcripts

Searchable, time-synced transcripts. Residents jump straight to an agenda item; you get an indexed, citable public record instead of an unsearchable file.

Plain-language summaries

The game-changer: AI recaps turn a three-hour hearing into a clear, translated summary of what was decided — driving engagement no other vendor touches.

Ask Aware

Ask a question in plain English and get a sourced answer drawn from every meeting video and document your government has published — jumping straight to the exact moment or source page.

Ask Aware Atlas

An optional add-on extending Ask Aware to the largest corpus of local-government records ever assembled — 3,800+ U.S. communities, plus Canada, the UK, Australia and New Zealand — every answer cited to the official record.

Publish & automate

Embed the accessible player or sync back to your site. Every new meeting flows in automatically.

Questions clerks & IT teams ask us

Do we have to replace our current video platform?

Aware supports videos from YouTube, Zoom, or direct video files you import into our platform. If you’re currently using YouTube you can continue to push videos to YouTube as part of your meeting workflow. Once we link your YouTube account to our platform we’ll push real captions to those videos. Residents also get a portal with the full compliance experience, plus our revolutionary AI summaries and AI search that people will love! There’s no migration and no change to how you run meetings.

How fast can we actually be compliant?

Most agencies go live within days. Import a link or file and the accessible version comes back automatically — we can also backfill your existing archive before your deadline.

Aren’t YouTube’s auto-captions good enough?

Auto-captions routinely miss names, motions and technical terms, and offer no audio description, transcript or plain-language summary — exactly where WCAG 2.1 AA and Title II reviews find problems. We close all four gaps.

What about our archive of older meetings?

Some archived content is exempt, but anything still used to conduct public business — or reposted after your compliance date — must conform. Point us at a channel or playlist and we triage and remediate what counts.

How is it priced?

Pricing scales from the smallest towns to the largest cities — our platform is affordable for everyone. Tell us about your meeting load on the demo and we’ll size the right plan.
